About the role

ARE is seeking a Programmes and Finance coordinator to help drive forward our work, supporting crucial programmes like the Windrush Justice Programme, our Youth Futures Foundation work and other onward granting and/or organisational development work. This crucial role for ARE would see the post holder work across a range of programmes, four days a week, with one day a week dedicated to processing finances of the organisation. This would include the use of the QuickBooks system. You will be a team player who supports the values of our organisation and is committed to our overall aims.

Key tasks and responsibilities includes:

Programmes Coordination

  • To coordinate programme activities for the programme team
  • To arrange and take minutes at meetings with key stakeholders including funders, organisations and consultants
  • Keep programme plans updated, using relevant software (Teams, Asana, Trello or other relevant project management software
  • To set up and support workshops and webinars on behalf of colleagues/consultants
  • To keep programme SharePoint extranet sites updated with regular content where required

Finance

  • To follow charity procedures / policy on maintaining accounting records.
  • Support day-to-day financial processes, including coordination of supplier payments and processing staff expense claims, ensuring they are properly authorised.
  • To enter invoice/ expense details accurately into an accounts software, preferably Quick Books, and allocate them to the correct project code.
  • Input payments onto bank account for finance manager / senior team to review.
  • Oversee basic bookkeeping functions, including coding of invoices and company credit card expenses to relevant grants and cost centres as well as for the correct company, i.e. ARE or ARE Enterprise Ltd.
Person Specification

Experience

  • Experience of working as part of a programme team to coordinate programme activities
  • Experience of processing financial payments for a small charity

Qualifications:  

  • Educated to GCSE ‘A’ level and also holds GCSE English and Maths   

Skills:  

  • Experience of designing, setting up and implementing administrative processes and procedures 
  • Strong verbal and written communication skills
  • Experience of working in a busy office environment and project teams
  • Experience of delivering objectives and targets to timescales
  • Proven IT skills including Microsoft Office 365, knowledge of Quick Books or other accounting software is desirable.

Knowledge:  

  • Knowledge of onward granting processes, particularly due diligence required
  • Knowledge of programme coordination

Personal qualities:  

  • Pro-active approach and skill in creative problem solving 
  • Ability to work on own initiative and as part of a team 
  • Highly motivated with the ability to motivate others 
  • Ability to multitask, working across several programmes at a time
  • Able to prioritise workloads and complete agreed programme outputs  

Remuneration

Salary: £30,000 per annum

Contract length: 12 months fixed term, initially

Hours: 35 hours per week (full-time) Hybrid – 3 days in our King’s Cross office
